Summary of the Position

A1Act safely for themselves, their fellow employees, customers, vendors, and anyone else with whom they may come in contact.
A2Review project documents to be thoroughly familiar with specifications, scope of work, payment schedules and special instructions. Seek clarification from Chief Estimator or Sales as appropriate.
A3Verify that the Supervisors anticipate and write Change Orders as appropriate
A4Lead Supervisors on pre-job site inspections. Note existing damage and potential problem areas. Determine best job sequence.
A5Daily and weekly project goal setting, planning and organization.
A6Communicate scope, sequence and goals to work associates.
A7Training, oversight and performance review of assigned work force.
A8Color and material confirmations; timely orders, delivery and returns of materials.
A9Customer communications daily or as appropriate.
A10Coordination and scheduling with other trades as appropriate.
A11Timely collections of payments as per agreements.
A12Reporting of all job-related costs and activities on a daily basis as received from the Supervisors.
A13Verify that Supervisors perform job completion inspection and post job follow up including touchups after job completion (goal: no call backs!)
A14Perform inspections to verify the care, maintenance, cleanliness and orderliness of job site, company vehicle, shop, tools and equipment.
A15Productive utilization of assigned work force.
A16Assist the Scheduler in the daily scheduling of jobs.

Minimum Background, Experience, and Requirements

A1Demonstrated skills and knowledge about residential and commercial painting including all aspects necessary to enforce company standards
A2Previous experience supervising employees
A3Competent knowledge of the basic mathematics of the painting business
A4Able to read, write, speak, analyze, interpret, and understand the English language with proficiency; Spanish a plus

Note existing damage and potential problem areas; Determine best job sequence; Areas to examine that do not operate properly include; Locks; Doors; Lights; Hardware; Fixtures; Surfaces that have existing paint or soiled areas; Areas of existing damage such as scratched glass; Getting color/material confirmations as soon as possible in the project; Benchmark the finish appearance as soon as possible to avoid surprises later; Be aware of special order/non-returnable materials so that he will have enough material but not too much; Anticipate delivery schedules and work with suppliers in order to allow sufficient time to get materials to the job – A trip to a paint store should be considered a failure to adequately plan and organize the project; All materials that can be returned should be returned to minimize total cost; Failure to get and put a color confirmation card and/or color sheet in the job file in a timely manner will result in a meeting with the President.
A13Anticipate the need for change ordersVerify that the Supervisor knows all of the following: Know the “Word Track” for a proper response to a customer’s questions regarding their expectations of what the job includes versus identified specifications and scope of work; Give a positive response that we can do the work for an additional charge … instead of a negative response that gives the impression that we don’t want to do additional work; Identify the additional tasks required to do the job as required by the customer; Provide an estimate of the costs and time required to complete; Call the office if there are any questions or concerns on the part of the customer; Look around the home for needed repairs that the customer may not have seen; Identify things that may be beyond the scope of painting but that the customer might appreciate our pointing out to them; Also look for needs in areas where we are not painting; For example if you are working inside, does the outside need attention; Does a bath/laundry need work; Does the customer know we also do faux finishes, wallpaper, and garage floors?; Beginning extra work without having signed change order will result in a meeting with the President. If CEO signs off-no foul here.
A14Complete job effectively and efficientlyFind and correct mistakes caused by others; Oversee tasks being accomplished by other painters; Responsible for all materials, tools, and equipment being on the site and in good working order; Coverage of material using proper inventory management techniques; Setting the proper plan for the job including the sequence of what task to be done 1st, 2nd, 3rd, etc; Set the proper production goals for the Supervisor and his staff; Use the people assigned as resources for his project as productively as possible without generating complaints from the staff or the customers.

NOTE: Timesheets must have a description of work done.; Call in orders for any needed material for next day delivery; Review time cards; Finalize Work Order for day with % complete for each task; File Work Order at office; Failure to turn in job tickets before you leave for the day in the designated file for job tickets will result in a meeting with the Production Manager.; Compiling and reporting of all job related costs and activities on a daily basis; Maintain accurate Job Cost records; Report them to the Project Manager or to the office as required; Failure to turn in the billing report by Tuesday at 5 pm to the administrator will result in a meeting with the Production Manager; Know the pay rates of all those working on his project; Keep copies of all materials purchased or used on the job; Be aware of the budget and inform the office of the progress; Special attention should be taken if it is clear that the progress does not match with the budgeted time; Make timely corrections to the budget and project scope so that a job can stay on time and on budget; If a job is billed for 100% completion and job is not complete there will be a meeting with the Production Manager.; Failure to prepare for weekly production meeting will result in a meeting with the Production Manager. In Meetings with the Production Manager, the Supervisor will explain why he failed to do his job.

Comments:

The Production Manager is one of the most critical positions in the company. Management looks to this person to assure that we deliver the services we have contracted and to provide guidance on how to accomplish the tasks. The job must be done to customer requirements and satisfaction. He or she must manage the workforce to do things both effectively (the right thing) and efficiently (the right way, the first time). The image of the company with the customer will be determined by the quality of the effort made to provide the product and service they demand. The person who manages these departments must have extraordinary management skills as well as strong technical knowledge of the painting business.
